Spoonflower’s Brand Marketing Team’s Asana Reconfiguration

The brand marketing team had a large focus on editorial and promotional emails. The stakeholders involved in the creation of the emails were the marketing director, marketing manager, graphic designer, copywriter and CRM lead. The organic social media manager and paid social media managers were also involved, when the the email was for a promotion. *


Problem: No system was in place to successfully get an email from ideation to creation, where all stakeholders were accountable and had visibility into the process.


Process: After monitoring the original ways in which the team worked, we identified each task that would be needed and who would be responsible for each task. We also determined the amount of time needed between each task, working backwards from the day the email would go out. Additionally, we created dedicated days of the week for each type of task, so the person handling the task knew that this specific task would come up on a specific day of the week for each campaign. We utilized the template for a number of weeks and then regrouped and made necessary changes that improved the process.

Solution: An extensive asana template was created that included tasks for each stakeholder, enabling all stakeholders to easily see where the process was at, as well as the timeline. This allowed for the Project Manager to easily provide weekly status updates, as multiple email campaigns were in production at all times.

Brand Design Atelier’s client dashboard makeover

Studio Couturra was using Google Drive folders to organize all their asset folders and brand documents for their clients.


Problem: The use of google drive was not the most effective way to keep up communications with their clients. Communication was mainly happening over comments in google docs and were hard to find and keep track of. Studio Couturra prides itself on it’s design abilities and aesthetic nature of it’s work and the interface of the google drive did not embody these ideas.

Solution: We created a tailored, customized Notion dashboard for Studio Couturra. This allowed documents to be embedded for easy navigation. Streamlined the user interface and integrated form for feedback. We also included a space for them to treat themselves and a client to allow them to focus time on updating their portfolio and website and work on marketing efforts.


Process: We explored the system Studio Couturra was originally using and discussed the pain points and objectives they wanted to address in the new system. Utilizing Notion, we created a dashboard for them to use to cover all areas of the business they wanted. We included a database to track expenses, an integrated intake form, and sub-dashboards for each client. We set the permissions for each client and made sure each client’s dashboard had all of the information they needed to access. We created a form for feedback that became a database where Studio Couturra and their client could track all changes and adjustments made to their work. This ensured no comments were overlooked, because Studio Couturra was always notified when there was a new response on the form. We embedded the documents for easy viewing and linked the asset folders to the dashboard. We utilized the brand’s color palette and aesthetic to make the Notion board representative of the work they do and the services they provide to their clients.
